The problem

Quotes take too long, and the numbers are hard to trust

Most quoting starts in a spreadsheet or a blank document. Every estimator prices a little differently, and nobody can see later how a number was reached.

Prices from memory

Material costs change, but last month's figure is still in the spreadsheet everyone copies.

Waste left out

Offcuts, partial sheets and minimum quantities quietly eat the margin on every job.

Retyping everything

The quote, the work order and the invoice each get typed again from scratch.

How it works

From material library to a clear, branded quote

Price materials the way you buy them

Each material in your library has a pricing type: by the sheet, by the roll, by the square foot, or per piece or box. Enter the size of the piece and Universal Workflow works out how much material it takes, including cut waste on sheet goods.

  • Sheets use the sheet size and cut waste to find how many you need
  • Rolls use the roll width and length
  • Boxes and packs turn the box price into a price per piece
  • Markup, size rules and waste are set once per material

Labour, services and supplies on every line

Each material line carries its own labour hours and rate, plus shop supplies. Add services such as site visits, design, permits or disposal from your services list as hourly, per-unit or fixed-price items.

  • Labour hours × your rate, per line
  • Services priced hourly, per unit or as a fixed amount
  • Discounts, sales tax and deposits on the quote

See exactly how every price is worked out

The (i) button on each product opens How this price is worked out: size × quantity, the material rate, markup, labour, supplies and the product total, line by line. It updates as you type, so you can check a number before the customer ever sees it.

What changes

Faster quotes you can stand behind

Consistent pricing

Everyone quotes from the same library and rates, so two estimators get the same answer.

Waste priced in

Sheet and roll pricing accounts for what you actually cut, not just the area.

No retyping

The same job becomes the quote, work order, invoice and the other documents you use.

Clear for the customer

Branded documents with your logo, terms and product photos.

Margin you can see

Markup and labour are visible on every line before you send.

A second look with Univers

On Growth and Premium, Univers can review a quote for possible margin issues. You decide what to change.

Example

A basement finish, priced in minutes

A renovation company quotes the walls and the floor of a basement as two products on one job.

  1. Add the walls. Pick mineral wool batts and 1/2 in drywall from the library and enter 1200 × 96 in, about 100 ft of wall at 8 ft.
  2. Add labour and supplies. 8 hours to insulate, 32 hours to board and finish, and $180 of supplies on the drywall line.
  3. Check the price. The (i) panel shows 800 sq ft of batts, 25 sheets of drywall, markup and labour, for a product total of $4,913.
  4. Add the floor. Luxury vinyl plank by the square foot for the rec room, with its own labour.
  5. Send it. Tax and a deposit are added on the estimate, and the quote goes out with your logo.

FAQ

Questions about estimating & quoting

Can’t find your answer? Send us a message and we’ll get back to you.

Can I use my own material prices and markups?

Yes. Your material library holds your own costs, default markup, pricing type and sizes. Change a price once and every new quote uses it.

How does sheet and roll pricing work?

For sheet goods you set the sheet size and cut waste; for rolls, the roll width and length. Enter the piece size and the quote works out how much material that takes, including waste, and prices it from your cost.

Can I add labour and services that aren't materials?

Yes. Every material line has labour hours and a rate, plus shop supplies. Services from your services list can be added as hourly, per-unit or fixed-price items.

Does it handle sales tax and deposits?

Yes. Your sales tax rate is applied on the estimate, and you can add a discount and a deposit as a percentage or a fixed amount.

Is estimating included on the Free plan?

Yes. The Free plan includes quotes, work orders and invoices for up to 20 new jobs a month. Paid plans add all eight document types and unlimited jobs.
